This privacy policy explains how MeenaDiam (HK) Ltd. ("MeenaDiam", "we", "us") handles personal and commercial data when you visit meenadiam.com or correspond with our cutting atelier.

We operate as a business-to-business supplier of natural cut diamonds. We collect only the information necessary to evaluate cutting commissions, provide quotations, fulfill orders, and meet Hong Kong statutory trade obligations.

We collect information in three contexts:

• Direct correspondence: Your name, business email address, direct phone number, company name, and atelier inquiry details when you email us or submit an inquiry.
• Trade verification records: Business registration certificates, beneficial ownership identification, and banking details required when entering into formal supply contracts or high-value purchase orders.
• Technical server logs: Standard web server connection details (IP address, browser user-agent, request timestamp) generated automatically when accessing our website.

We use collected information for specific operational and legal purposes:

• Preparing customized diamond specifications, pro-forma invoices, and parcel schedules.
• Coordinating door-to-door armored transit manifests and export documentation.
• Fulfilling customer due diligence under Hong Kong's Anti-Money Laundering and Counter-Terrorist Financing Ordinance (Cap. 615).
• Maintaining required trade and corporate accounting books under the Inland Revenue Ordinance.

We share client information only with necessary service partners under strict confidentiality:

• Armored logistics carriers: Companies such as Malca-Amit, Brink's, or Ferrari Group to fulfill insured delivery manifests to your designated facility.
• Gemological laboratories: The Gemological Institute of America (GIA) or equivalent institutions when stones require certification issued in the client's corporate name.
• Statutory and legal authorities: Hong Kong Customs and Excise, law enforcement, or tax authorities when required by subpoena, statute, or official regulatory audit.

We retain commercial transaction records, signed pro-forma invoices, and customer verification files for seven (7) years following transaction completion, in compliance with Hong Kong statutory accounting requirements.

General inquiry emails that do not result in a commercial transaction are kept for up to two (2) years and then permanently deleted from atelier email servers.

Our website uses Transport Layer Security (TLS/HTTPS) to encrypt data in transit. Client communications, identity verification records, and transaction logs are stored on access-controlled infrastructure restricted to authorized workshop directors and compliance personnel.

MeenaDiam does not use cross-site tracking cookies, behavioral advertising networks, or third-party pixel trackers on this website.
